A basic document management system which will be for the cloud. Should encompass the basic processes of adding a document, indexing, searching, displaying the searched result along-with having a workflow module. Basically there will be 2 versions, 1 with all features and 1 without the workflow feature.
1) Capture Module:
(a) Adding any type of word/text document, image or PDF file as an individual file
(b) Bulk adding file(s) from a folder
(c) Auto integrate from MS Office and Outlook into the DMS
In all of these, the file(s) will be uploaded into the DMS in compressed format. Further, if the same filename exists, the system should not automatically overwrite the existing uploaded file but in fact should generate a report of the file(s) uploaded successfully and those that were not uploaded due to the filename existing in that particular folder/drawer/cabinet in the DMS
2) Index Module
This is basically an engine which needs to be created to automatically index the document based on the meta-data fields as well as index using OCR for non-image files and PDF/A files. This will be resident in the back-end of the system.
3) Search Module
There will be a search module to search the filename on a variety of different types of searches including boolean and conditional/functions. Also option of full text search as well as search within the PDF/A or word/text document should be possible so hat the search result can be shown and displayed.
4) Workflow:
Creating a workflow
Assigning users
Setting parameters such as deadlines etc
Sending notifications to each user based on the workflow
Alerting the user before deadline expires to complete workflow
Auto inform the supervisor if the workflow has lapsed without any action of that user
There will be additional standardized modules also as follows:
(a) Login/Logout Module. Home page dashboard to pop up once log-in is successful.
(b) Admin Module which allows for addition of new companies, their users, etc as well as for managing the rights & privileges associated with each user. Also for creating new meta-data field types based on each Company's individual type of documents.
(C) Reports Module to drill down and create reports for any scenario or situation.
This project involves designing and development. Final choice of language of design and development will be Project Provider's but he is open to receiving advice on which is the best and why? Further complete set of documents, code and design, including all source code files will be given to the project provider.
