We have transitioned to a new software system for our Home Health Agency. We have approximately 90 employees that we pay on a weekly basis. The hours paid for most employees are derived from the new software system. This new system does not provide easy to use reports so we need to build excel reports to calculate the weekly time to be paid for employees, provide analysis to identify any issues with the pay data and then build an export file for our Payroll Company. The process built has to be an easily repeatable process with variable data sets to complete each week.
Home Health Agencies take care of patients in their homes. Our employees are paid on an hourly basis based on their patient visits each week. Nearly all of our employee's schedules vary on a weekly basis due to a number of both patient and employee issues.
The standard reports from our Electronic Medical Records (EMR) software system are exportable to excel so the data exists for most of what we need for our calculations. However, the data needs organized in a logical order to provide for analysis and ultimately an upload to our Payroll vendor.
One component of most employees' pay is their travel time between patients. We are required to pay employees for the time they spend traveling between patients with some limitations. The EMR software system provides (through multiple reports) all data needed to show each employee's visit schedule with the patient address available to be pulled into the visit schedule report. For this component of pay we need a way to show the travel time between patients for each employee's schedule. The data is too time consuming (approximately 800 patient visits per week) to manually run each visit through Google maps. We hope that Google Maps API or an alternative source can be called on from the visit summary report to return the shortest logical drive time between the two addresses.
We will need a Business Associate Agreement (we'll provide) signed by anyone working with the data due to Personally identifiable information and possibly Personally Identifiable Health Information.
