We are operating a call center and temporarily had/have to rely on an outdated infrastructure with no reporting capabilities. Each evening a csv.-file is created, summarizing:
For in-bound calls:
- telephone number calling
- employee reached (2-digit-number)
- date & time of incoming call
- date & time phone being picked up
- date & time of conversation end
- call duration in total seconds from incoming call to conversation end
- call duration in total seconds from phone being picked up to conversation end
- call status/summary ANSWERED, NO ANSWER, FAILED, FAX, etc.
For out-bound calls:
- employee calling out (2-digit-number)
- number called, either external or internal (2-digit-number)
- date & time of outgoing call
- date & time of call being picked up
- date & time of conversation end
- call duration in total seconds from outgoing call to conversation end
- call duration in total seconds from phone being picked up to conversation end
- call status/summary ANSWERED, NO ANSWER, FAILED, FAX, etc.
The deliverable
We Need an excel file/report, that allows us to
1) save locally & automatically feed call data from all the daily csv.-files from Jan 1st 2018 to today and going forward until the end of 2019
2) Summarizes the information generated from the csv.-files in 3 tabs
2.a) Overall reporting cockpit visualizing the aggregate data by day/calendar week/month vs. prior year (period shown to be selected by user); highlighting a) total number of calls made to external vs. internal parties and for external parties including the success ratio (% of calls answered), b) total number of calls received, c) average duration of calls made for those which were answered from picking up the phone to conversation end, d) average duration of calls received for those which were answered from picking up the phone to conversation end
2.b) Reporting cockpit visualizing the data on employee level (2-digit-number + name) by day/calendar week/month vs. prior year (period shown to be selected by user); ideally employees are in a list with 1 line for each employee and the option to select/filter certain employees only; highlighting a) total number of calls made to external vs. internal parties and for external parties including the success ratio (% of calls answered), b) total number of calls received, c) average duration of calls made for those which were answered from picking up the phone to conversation end, d) average duration of calls received for those which were answered from picking up the phone to conversation end
2.c) Reporting cockpit visualizing internal calls only on aggregated and on employee level (2-digit-number + name) by day/calendar week/month vs. prior year (period shown to be selected by user); highlighting a) total number of calls made to internal parties, b) average duration of calls made for those which were answered from picking up the phone to conversation end
3) in a separate tab, edit the 2-digit-number link to employee names and add new numbers/employees that will show up in future reports
