We are posting a short-term position because we need help immediately - there is potential for an ongoing position for the right person. 10-30 hours a week.

What We Need:
Flexible Administrative Assistant -
We are looking for an enthusiastic, self-motivated, determined and confident individual to join our team as Office Administrator/Assistant. This position requires multi-tasking, the ability to work closely with a local and a remote team and the ability to provide the highest level of customer service to our clients. We need someone who has a strong intrinsic motivation to do a good job and help our organization thrive.

Examples of Duties/Tasks:
Managing calendars and scheduling meetings
Booking travel arrangements
Word processing documents, reports, business letters, etc.
Answering phones and directing calls to staff
Monitoring emails and responding promptly to client emails
Client relationship assistance and maintaining client records in Salesforce
Creating virtual meetings and communicating them internally to staff and external to clients
Taking meeting notes and sending meeting summaries
Keeping track of events, deliverables, deadlines. Reminding team of deadlines.
Expense reports
Proofreading
Formatting proposals

Necessary Skills:

Microsoft office (word, excel, powerpoint)
Adobe acrobat pro
Prior experience in an administrative assistant role
Impeccable time management and organizational skills
Ability to prioritize with minimal oversight
Excellent communication skills (oral and written), collaboration, and interpersonal skills
Strong business-writing and proofreading skills
Discretion and confidentiality
Anticipates and addresses needs proactively, operating with an internal sense of urgency
Ability to work with multiple teams and communicate expectations
Exercises hyper-vigilance around organization, details and follow-through


Desired (not required but a positive) abilities include experience with:
Basecamp
Salesforce
Zoom
Tableau
Adobe Indesign
Word Press

Unexpected but also a positive:
Qualtrics
SPSS
