Job DescriptionWe are looking for a virtual Client Services and Scheduling Manager to join our 12-person growing company. This role will manage the administrative portion of our professional services program, coordinate between clients and professional staff, and provide service to our valued clients in 50 countries around the world. This role is primarily handling client services and handling scheduling between our professional staff and clients. It involves corresponding with people in multiple time zones and cultures, primarily via email.
We are an internet-based distance learning company and the leader in our field. We are a completely virtual company, with team members that have been with the company from 3 to 12 years. We have a culture of caring about our customers. We are looking to add a new member to our team for a long-term career opportunity with the possibility to advance into other roles and grow within the company.
This is a long-term, permanent part-time work from home position with flexible hours. We are looking for a minimum of 15 hours per week, with up to 25 hours per week possible for the right fit. You must be US-based (any US time zone), a native and fluent English speaker and be available after 5PM ET each business day, with email check-in and occasional tasks over weekends. We need someone reliable and consistent - in attendance as well as in follow-through.
-- Email communication on a daily basis with clients, professional staff, and other team members to facilitate our services
-- Administrative support to assist our clients in scheduling, rescheduling, canceling, and to manage any requests or questions
-- Weekly and monthly tracking and reporting of sales and capacity numbers to management and to maintain historical stats
-- Create and regularly update Google spreadsheets
-- Phone calls to clients or vendors as needed
-- Track and organize feedback from clients
-- Research vendors, software, or misc. Issues relevant to this department
-- Test new and existing software for department to help improve client experience and assist clients
-- Create and update clear and concise instructional documentation
-- Other administrative tasks as needed
The ideal candidate will have:
-- Proven ability and experience with Google docs, Google sheets, Word, and Excel
-- Experience in and understanding of customer/client service and a customer service mindset, with the ability to show that in client communication
-- Experience and proven ability in managing projects with multiple steps and multiple goals, and working with team members to achieve project goals
-- Proactive and takes ownership of projects; thinks through what is needed, NOT just what is asked for, and takes care of it.
-- Extremely detail oriented
-- Able to identify project steps and actions sequence to reach an outcome, as well as follow multi-level instructions and track steps for complicated projects
-- Makes common-sense decisions based on the information available
-- Strong verbal and written communication skills; correct grammar and spelling, and warm and personable on the phone and in email communication
-- Technical aptitude (proven experience learning new software and technology quickly; able to research for support as needed)
-- Works independently with little instruction (results-oriented)
-- Multi-tasks easily with excellent time and project management skills (handling or managing several projects, parties, and goals simultaneously)
-- Follows multi-level instructions and tracks steps for complicated projects
-- Can work under tight deadlines without compromising quality
-- Troubleshoots and problem-solves creatively
-- Proactively asks for feedback, constructively responds to feedback given, and implements changes based on feedback
-- Goal-oriented: focuses on the objective for the project, not just the specific tasks

Experience in a similar-type role -- managing the process with several professional staff/experts and many clients is a plus. Experience with Infusionsoft, WordPress, or a marketing background also a plus.
