What is technical writer?

A technical writer is someone who produces documentation that explains the treatment, functions, and/or design of a product or service under development or currently in use to help the user, either a consumer or technician, best understand the product or service.
A technical writer's goal is to provide as much information as humanly possible in a readable and user-friendly way. It's important to remain impartial as a technical writer, because doing so helps the user in the end. The technical writer will not be around to explain anything that is unclear to the user upon reading. That means it also needs to answer every question the user might have upon reading it before the user can even ask it.

What does Technical/Content writers actually do?

A technical writer is responsible for creating content for journal articles, technical and instructional manuals, training guides, and assessments. They organize content into a document that can be easily understood. They often interact with other technical writers or subject matter experts to ensure accuracy of information.
Technical writers gather and help develop technical information for various companies, manufactures, designers, or clients. A technical writer can be found employed in a variety of locations but mostly work in engineering and computer companies on a full-time basis.

What to look for in a contract technical writer?

This may vary from situation to situation, but some of the considerations should be:

  • Overall Technical Writing Experience:You are hiring a temporary contract writer, not an employee. So, you may want to focus on senior writers with five or more years of experience.
  • Industry/Subject Matter Experience:A decent technical writer doesn't need to be an expert in your field. However, if you're hiring a temporary writer, why not look for someone who understands the topic area and nomenclature that may hit the ground running.
  • Writing Ability: Obviously this is a priority, even if the candidate is also an experienced and successful contract technical writer, he/she still might not have the writing style you are trying to find. So ask for writing samples and/or ask the candidate to organize a short one- or two-page writing assignment.
  • Personality fit: This is not as important as hiring a staff writer, but depending on the length of the project, personality should be a consideration. At least one interview ought to be conducted with one or all of the persons involved with the project.
  • Rate: Depending on skills, experience, and geographic location, most contract technical writers in the U.S. charge between $40- $70/hr.
  • Availability and Time Requirements: Is this a full-time, 40-hour-per-week need, or a project with varied hours.
  • Tool Experience: Most writers will tell you that experience with a certain software tool is of little importance, since most can learn new tools relatively quickly. However, as with industry and/or subject matter experience, a writer with experience with the appropriate tools will probably be more efficient at the onset of a new project, saving you time and money.
  • Other Skills and Experience: Project management, translation, Information Mapping, Instructional Design, HTML, online help, among others may be important to your project, and may even be the reason for hiring a contract writer.

Which Skill Sets are Important for a Technical Writer?

Technical writer requires a mastery of a certain set of skills

  • Writing skills - For a technical writer, writing skills will never be overlooked. The technical writer still needs to write in a clear and concise manner and to be able to convey information appropriately for a variety of audiences.
  • Technical skills - The technical skill set of a technical writer depends greatly on the subject matter, product or service that requires documentation.
  • Tools skills - A technical writer needs to know his or her way around computer systems, since they are used to produce documentation in a variety of formats. Specific tool knowledge, like Adobe FrameMaker, MS Word, MadCap Flare, RoboHelp, and even PageMaker and Quark extremely depends on the tools the organization has come to rely on in order to provide its technical documentation.
  • Design skills - An appreciation for the visual can be an important part of the skill set of a technical writer. Even the earliest technical documents didn’t consist of just the written word. To a growing extent the technical writer needs an appreciation for graphics and formatting as well as illustration skills.
  • Usability and testing skills - A technical writer may also be asked to take an active role in usability and testing. Even if not asked to take a role, the technical writer knows that validation of the documentation is important.

Why Developers Write Horrible Documentation

Your developers love to solve problems, implement new features, and squash bugs. And, they are pretty brilliant at this. But, they hate writing. Most engineers can’t write a single coherent sentence, let alone a user manual.

That’s because writing and programming are two different skills. One requires abstract thinking and problem solving while the other requires great language skills, conciseness, and playfulness. Sure, both developers and writers share some skills like reasoning and problem solving but they manifest differently.

That’s not to say that all developers are bad writers. Some of them know how to create straightforward, well-organized sentences. For most of them, however, this task is a challenge, and they’ll do anything to escape the act of writing. So, even though your developers understand your product best and might seem like the perfect person to create user manuals, it’s actually better to work with a technical writer.

We know what you’re thinking

Professional writers can adapt everything from their tone to their writing style to the identity of your business. They conduct interviews with you and your employees to get a feel of the personality of your company. Niche expert writers often have hands-on experience in your industry so getting to the heart of complex topics isn’t something difficult.

Writers may specialize in an industry or by project type. Such as tech writers or those who only write direct mail pieces. Although writer portfolios may include a mix of project types, writers usually fall into one of these three categories:

Content writer: These non-advertising writers are skilled at writing blog posts, ebooks, and whitepapers.

Advertising writer: Many worked in ad agencies and are familiar with graphic-heavy projects, slogans, or mixed media campaigns.

Sales writer: They work on projects focused on conversions. Such as getting the click, call or purchase. Projects include product packaging to email campaigns and landing pages.

How Content Writers Work

Content writers work with their clients in order to determine how to bring the greatest possible benefit to potential readers. This requires thoughtful conversations between writers and their clients, plus extensive research to locate the best possible information. Being able to understand business models and the client’s overall goals are also important, so superior communication is always a necessity.

Some content writers may handle more advanced tasks like preparing ad copy, technical writing, or explainer/video scripts. Others could have backgrounds in marketing, search optimization, journalism, business, or a number of other fields to make their services more comprehensive for their clients.

Considerations For Hiring A Content Writer

There are a wide range of professionals in the field of content writing with different levels of experience, so it’s important to have a clear understanding of the type of services you’re required. For instance, novice content writers may be suitable for writing things like blog posts and product descriptions. It may require a more senior content writer, however, to clearly articulate complex topics for the general public.

How To Choose A Best Content Writer

Since writing is the most important skill, you should look for well-written custom proposals that directly answer each of the questions posed in your job description. Also pay attention for any typos or poorly written sentences since it’s a direct reflection of the work you’ll likely receive. The same goes for any messages or emails exchanged during the selection process; top professionals will be quick to respond with excellent communication skills.

Additionally, remember that your brand has a distinct personality of its own—even if it hasn’t been actually defined yet. You want to find a writer who can capture the appropriate tone and create content that will resonate with your audience.

Finally, be sure to ask plenty of questions about the writer’s experience and familiarity with your industry. The more comfortable you feel with a writer during the hiring process, the better the overall experience will be in the long run.
